Dispensary CRM
That Brings Customers Back

Your CRM already knows who bought what, who is in your loyalty program and who agreed to hear from you. We turn that record into segments and automated flows that run every day, then add the people your website was losing: identified visitors and their intent from Leafprint by The Gold Standard.

One Customer Record, Every Signal Attached

A dispensary CRM (customer relationship management system) keeps one profile per customer and ties it to everything your store knows about that person: what they buy at the register, where they stand in your loyalty program, which channels they agreed to receive messages on, and how they responded to past campaigns.

In cannabis, the CRM usually sits on top of the POS and often shares a platform with loyalty, email and SMS. That is why the terms blur together. The useful distinction is this: loyalty is the reward structure, the CRM is the record and the engine that decides who gets which message and when. A store with a strong reward program but no segments or automation is leaving the CRM half built.

Most of the dispensaries we audit already pay for a capable platform. What is missing is the work inside it: clean POS sync, consent tracked by channel, segments that reflect real buying behavior, and flows that fire without anyone pressing send. Our customer retention guide covers the wider strategy; this page covers the system that runs it.

What a working dispensary CRM does

  • Unifies the customer. POS transactions, loyalty activity and opt-ins land on the same profile, across every location.
  • Tracks consent by channel. Email permission and SMS permission are stored separately, with the source and date of each opt-in.
  • Builds live segments. Product category, visit frequency, recency, spend and loyalty tier update as customers shop.
  • Runs automated flows. Welcome, post-purchase, winback, birthday, abandoned cart and points reminders fire on their own triggers.
  • Reports honestly. Revenue is credited with strict attribution and reported monthly, flows separate from one-off blasts.

Four Layers of Customer Data

Three of these layers come from your store. The fourth comes from your website, and it is the one most dispensary CRMs are missing.

Leafprint Fills the Gap Between Your Website and Your CRM

Most people who browse a dispensary menu online never sign up for anything. They leave, and your CRM never learns they were there. Leafprint by The Gold Standard is our identity resolution platform. A pixel on your site identifies visitors who did not fill out a form and shows, in a live portal, who they are, what they looked at and how close they seem to a decision.

That changes what the CRM can do in two ways. Visitors who are already customers get a fresher signal: someone who has not bought in six weeks but spent ten minutes on your edibles menu yesterday belongs in a different segment than someone who has gone fully quiet. Visitors who are new to you become contacts you can label by source and reach on the right channel, instead of anonymous sessions in an analytics report.

Identified people can be exported or sent to your own systems through webhooks, by segment, so they land in your CRM tagged as Leafprint contacts and never mixed in with customers who opted in at the counter. The full product, with the portal tour, lives on leafprint.io.

  • Existing customer, back on the siteEnrich the profile with recent pages and intent, and move them into a matching segment, such as a lapsing flower buyer who is now browsing deals.
  • New visitor with an email matchTag the contact by source and route it according to your platform's import rules and your state's requirements. Some platforms only accept opted-in contacts; we follow those rules.
  • Reach without a message listUse identified visitors to build ad audiences for programmatic, CTV and geofencing, or mailing lists for direct mail.
  • Never straight to SMSA matched phone number is not SMS consent. Identified visitors only join SMS after they opt in with written consent through your own loyalty sign-up, checkout or text-to-join keyword.

The SMS rule we hold every account to. Identity resolution can return a phone number. That number tells you how someone could be reached; it does not give you permission to text them. SMS lists in the CRMs we run are built only from customers who gave written consent. Read more in our SMS and TCPA guide.

Segments Decide Who. Flows Decide When.

Full-list blasts treat every customer the same. Segments built from POS history, loyalty status and web intent send each group the message that matches what they actually buy. Flows then trigger on moments in the customer's life with your store, so the right message goes out without anyone scheduling it.

Customers who stop visiting are the quietest revenue leak in the database. A short sequence with escalating urgency, sent to a defined inactivity window, brings a share of them back before they settle in at another store.

Birthday and anniversary

Birthdays and loyalty anniversaries are the most personal triggers a CRM has, and a natural place for a tier perk. They need a clean birthdate field and a consistent offer to work.

Criteria That Matter More Than the Feature List

Every cannabis CRM demo looks good. The differences show up six months in, when you need clean data, honest reporting and an export you control. Use these criteria to compare whatever platforms you are considering. This is not a ranking; the right choice depends on your POS, customer volume and number of locations.

Dispensary CRM selection criteria
CriterionWhy it mattersAsk the vendor
POS integrationSegments and flows are only as good as the purchase data behind them. Delayed or partial sync breaks post-purchase and winback timing. Is the integration native for our POS? How often does it sync? Are returns, voids and multiple locations handled?
Loyalty in the same systemPoints, tiers and enrollment events are some of the best triggers you have. Keeping them on the same profile avoids a second data feed.Is loyalty built in or a separate tool? Can enrollment, tier change and points expiry trigger flows?
Consent trackingEmail and SMS permissions are different and need their own records. A muddled consent field is a liability. Are email and SMS consent stored separately with source and timestamp? How are opt-outs synced across locations?
Segmentation depthCategory, recency, frequency, spend and tier are the segments that move revenue per message. Can segments combine purchase, loyalty and engagement fields? Do they update automatically?
Automation triggersFlows run every day without staff time. The trigger list decides which flows you can build at all.Which triggers exist: enrollment, purchase, inactivity, birthday, abandoned cart, points expiry? Can flows mix email and SMS?
Attribution and reportingBroad attribution windows make every campaign look like a winner. You need to see what actually drove purchases. What is the attribution window and rule? Can we see strict attributed revenue by campaign and flow, by month?
Outside data and integrationsIdentified website visitors, ad audiences and other tools need a way in and out of the CRM.Does it accept imports or webhooks with a source label? Can segments be exported to ad platforms?
Data ownershipYour customer list is the asset. You should be able to leave with it.Can we export every profile with purchase history and consent fields at any time?
Pricing modelPlatform fees, contact tiers and message credits all scale differently as your list grows. How is pricing calculated, and what does it look like at twice our current list size?

Dispensary CRM FAQ

What is a dispensary CRM?

A dispensary CRM is the system that holds one profile per customer and connects it to everything you know about them: POS purchase history, loyalty points and tier, email and SMS opt-in status, and campaign activity. It is where segments are built and where automated messages like welcome, winback, birthday and post-purchase flows are triggered.

Is my loyalty program the same thing as my CRM?

Often they live in the same platform, but they do different jobs. Loyalty is the reward structure: points, tiers and redemptions. The CRM is the customer record and the messaging engine that uses loyalty data, purchase data and consent status to decide who gets what message and when. See our loyalty program service for the reward side.

Do I need a separate CRM if my dispensary runs on Dutchie?

Not always. Dutchie includes native loyalty and marketing tools, and Alpine IQ and SpringBig both integrate on top of the Dutchie POS when a store needs deeper segmentation or automation. The right setup depends on customer volume, number of locations and how much automation you plan to run. Our Dutchie page covers the options.

How does Leafprint data get into my CRM?

Leafprint by The Gold Standard identifies website visitors who never filled out a form and shows each person's activity and intent in a live portal. Identified visitors can be exported or sent to your own systems through webhooks, then labeled by source inside your CRM so they are kept separate from customers who opted in at the counter or online. Learn more on the Leafprint page or at leafprint.io.

Can identified website visitors receive SMS messages?

No, not on the strength of a match. A matched phone number is not SMS consent. Identified visitors only join an SMS list after they opt in with written consent through your own loyalty sign-up, text-to-join keyword or checkout opt-in. Until then they are reached through channels that do not depend on SMS consent, such as ad audiences or direct mail.

Which automated flows should a dispensary CRM run first?

Start with the flows tied to the strongest buying moments: a welcome flow on loyalty enrollment, a post-purchase follow-up, a winback sequence for customers who have gone quiet, and a birthday or anniversary message. Abandoned cart and points-expiration reminders come next for stores with online ordering and an active points program.

Do you replace our CRM platform or work inside it?

We work inside the platform you already use, including Alpine IQ, SpringBig and Dutchie. If your current setup is a poor fit, we help you compare options and handle the move. There are no long-term contracts.

How do you measure what the CRM is producing?

We report monthly using strict attribution, meaning revenue is only credited to a campaign or flow when the customer engaged with that message before purchasing inside the attribution window. Flow revenue and blast revenue are reported separately so you can see what runs on its own and what takes staff time.

Find Out What Your CRM Is Leaving on the Table

We will review your POS sync, consent fields, segments and flows, and show you which ones are missing and what to build first. Then we run it, inside the platform you already pay for.

No long-term contracts. Month to month.
